Meeting started at 8.30pm – Becky and Steve here.

• Discussed and edited cvommittee minutes from January.
• Compiled and attached: begging letters, constitution, letter to Hon Pres, agenda and minutes for email.
• Discussed Committee meeting on Wednesday.
• Read through Grass Roots Grant application.
• Filled in various sections in preparation for Becky’s meeting tomorrow.
• Becky ate 2 chocolate chip cookies – Steve abstained!

Steve left the building at 11:30 – Thanks Steve!

Choir Directors Meeting March 11, 2010

Meeting started at 7.30pm – Becky, Steve, Perry, Emma, Stuart, Joy, Petra and Sarah here

• Discussed stage plan and arrangements on the stage
• Discussed about the logistics of choirs going on and coming off of the stage, including health and safety.
• Discussed ideas about how we are going to allocate schools to each director
• Discussed the use of visuals – actions, props, costumes, the screen etc.
• Discussed merchandise – each director to be given their own set of merchandise to take around the schools
• Listened to some sample songs which could be used in this years Festival – Juniors together and Joy and Sarah discussed Infant details in the kitchen.
• Arranged meetings to introduce repertoire
• Ate yummy Chocolate, Lemon and Carrott Cake!

A wonderful opportunity to meet with like-minded people and discuss this year’s Festival

• Update contact list for Primary Schools with a focus on Infant directors
• Printed out relevant letters from contact list for postage this week
• Updated and modified begging letters – 4 seperate letters
• Composed letters to Howard and Pru – Thank you and asking for advise with media
• Read and discussed Making Music constitution advice
• Read through and updated PSMF Constitution
• Highlighted changes for ease of discussion
• All of the above will be sent to Commitee members via email

LAST BLOG BEFORE THE FESTIVAL? June 25, 2009

Meeting started at 8.00pm – Zoe, Becky, Steve & Emily here

• Created, printed and laminated the certificates
• Created and printed signs for the Festival nights
• Updated and printed lanyards  
• Becky popped over to TESCO innit’ to get some more laminator pouches.
• Discussed some committee business (Ann Brazier and Ann Belcher and Analiese also consulted over the phone). 
• Ate strawberries and pineapple YUM! The healthiest yet!!!
• Steve & Emily have left the building – thanks guys!
• Updated and printed business cards

• Checked and responded to emails.
• Created and updated VIP invite for this year
• Ate Waitrose lemon cheesecake thank you Becky!!
• Printed a begging letter!
• Sarah updated us on her media contacts – Becky handed Sarah some more papers!
• Wrote and printed letter inviting the Lady Mayoress to the Festival
• Discussed mock up of Festival Advert Zoe had made
• Looked over the changes Zoe had made to the programme
• Reviewed adverts position within the 2009 programme
• Sarah falling asleep so left at 11pm! Thank you Sarah.
• Minutes from previous Committee meeting
• Agenda for next meeting Wednesday 10th June! – Email will be sent tomorrow!

• Discussed merchandise options, looking at various brochures for different pricings.
• Discussed Infants arrangements
• Ate apple and honey cake thank you Ann!!
• Printed Infant Ticket letters!
• Wrote and printed Merchandise letters and forms
• Discussed photo options for 2010 Festival Advert
• Reviewed adverts collected so far

• Updated Raffle prize list
• Completed and signed minutes
• Prepared agenda for next meeting
• Sent minutes & agenda to all
• Jam & Cream doughnuts with fresh raspberries !!! Yum Yum!

Ticket letters etc…. April 28, 2009

Meeting started at 7.00pm - Zoe, Sarah, Ann &  Becky here.

• Checked emails
• Collated Raffle prizes
• Amended ticket sales information letter
• Created a ticket collation form
• Amended ticket order forms for parents
• Created the data of schools for this year’s Festival and related the school and evening performance
• Amended consent form for all children
• Created consent collation form
• Printed stickers for all schools inolved
• Stuck stickers to enevelopes
• Printed Ann labels
• Ran out of time so Sarah is taking home the letters to stuff tomorrow with her friend (what a friend!)
• Ate banana bran loaf – WOW that was good – home made by the lovely Ann!!!

Becky left early because you didn’t realise she plays Timpani !!! and had a rehearsal!

Sarah & Ann have left the building - 11.00 – mmm thought it wasn’t gonna be a late one as we started earlier!

April 21, 2009

Meeting started at 7.45pm - Zoe &  Becky here.

• Checked emails and replied to those needing one
• Emailed 2 Junior invite letters
•  Sent some music files to Directors
• Spoke to Ann  about tickets (ordering from the Guildhall and sending letters) and Infant Festival
• Printed final Constitution for Becky to action
• Collated a list of choirs for each night
• Sorted through raffle prizes; Thank you to New Theatre Royal, South West Trains, City Museums and the Marriott Hotel.
• Ripped and burned some CDs for choir directors
• Discussed the secondary schools’ meeting (needed to decided what to do with uncollected packs)
• Discussed suggested improvements for staging the Festival (Thank-you Debbie & Bev) 
• Updated VIP invitation list
• Collated some receipts and an invoice for Polly
• No naughty things to eat Zoe’s friend’s wedding is next week!!!!
